Booking Policy

Every Kifaru journey is planned individually. This policy explains how an enquiry becomes a confirmed booking and what to check before committing to your safari.

Enquiries and proposals

Submitting an enquiry, discussing an itinerary or receiving a proposal does not create a confirmed booking. Routes, accommodation, activities, flights and prices remain subject to availability and the conditions stated in the proposal. Photographs and sample itineraries illustrate the type of experience; your written itinerary identifies the services actually included.

Your written booking documents

Before you commit, we will provide the itinerary, price, inclusions and exclusions, payment requirements and the applicable amendment and cancellation conditions in writing. These documents identify the business contracting with you and any relevant supplier conditions. Ask us to clarify anything that is unclear before accepting or paying. A booking is confirmed only when Kifaru issues written confirmation and any stated confirmation requirements have been met. If your quotation contains a validity period or a deadline for a provisional hold, that deadline applies.

Prices and payments

The quotation specifies the currency, payment schedule, accepted payment method and any applicable taxes, levies, transfer costs or other charges. There is no single website-wide deposit percentage or cancellation schedule: these depend on the services and suppliers in your itinerary and must be disclosed before booking. Check which flights, visas, insurance, park fees, meals, drinks, gratuities and optional activities are included. Prices may change before confirmation when availability, exchange rates or supplier charges change. Any permitted change after confirmation must follow your agreed booking terms and applicable law.

Use only the payment instructions supplied with your booking documents. Verify unexpected changes to bank details through a known contact before transferring funds. Do not send full card details through the website enquiry form or ordinary email.

Traveller information and special requirements

You are responsible for providing accurate traveller names and details and checking the itinerary and confirmation promptly. Names must match the travel documents used for the journey. Tell us about mobility, accessibility, dietary, medical or other requirements before booking so that suitability and supplier arrangements can be checked. A request is confirmed only when accepted in writing. Some activities have age, fitness, weight or other participation restrictions. A parent, guardian or authorised organiser must make arrangements for children.

Passports, visas, health and insurance

Travellers must check and meet the passport, visa, entry, transit and health requirements applicable to their nationality and itinerary. Requirements can change, so obtain current information from the relevant authorities and qualified health professionals. Travel insurance is strongly recommended from the time you commit to your journey, including suitable cancellation, medical treatment and emergency evacuation cover and cover for your planned activities. Some suppliers or activities may require specific insurance. Check the policy terms and exclusions directly with your insurer.

Changes, cancellations and refunds

Request any change or cancellation in writing to safaris@kifaruexpeditions.tz or the travel partner through whom you booked. Ask for acknowledgement, particularly where a deadline applies. Changes depend on availability and may involve supplier charges and a revised price. The cancellation conditions disclosed and accepted for your booking determine the charges and any refund. Do not assume that a deposit, permit, flight or accommodation payment is refundable or transferable.

If Kifaru or a supplier needs to change or cancel a confirmed service, we will explain the circumstances, available alternatives and any refund or other rights under your booking documents and applicable law. Weather, road conditions, safety concerns, government action and other events outside reasonable control may affect arrangements. Their consequences must be handled under the agreed terms and applicable law; they do not automatically remove statutory rights.

Wildlife, guiding and safety

Wildlife sightings, river crossings, weather and animal movements cannot be guaranteed. Guides may adjust timing, routes or activities in response to conditions, safety or wildlife behaviour. Follow reasonable instructions from guides, accommodation teams and relevant authorities. Raise any concern during your journey as soon as practical so that the team has an opportunity to help.

Travel partners and complaints

If you book through a travel agent or another partner, check who is taking your booking, receiving payment and supplying each service. The partner’s terms may also apply. Tell us promptly about any problem during travel, then send any unresolved complaint in writing with your booking reference and relevant details. We will investigate with the people involved. Nothing in this policy excludes liability or rights that cannot lawfully be excluded, or replaces the specific terms agreed for your confirmed booking.
